Application to Participate in the Desert Writers Expo

Rules and Terms

The Desert Writers Expo is a one day event held at the Rancho Mirage Library on Wednesday, March 21, 2012 from 10:00 am until 2:00 pm. The Expo will consist of 54 selected authors from a variety of genres. Each author will be provided half of a 6 foot table for the display and sale of his or her book(s), and will be responsible for accepting payments. The Rancho Mirage Library has generously offered a gathering place for readers to meet local authors.

Layout: the Expo will be held in the Community Room at the library. There will be twenty-seven, 6 foot tables, 30 inches wide in the room. Two authors will share one table (no tablecloths are provided). The tables will be numbered 1A, 1B, 2A, 2B, etc. A layout map of the tables with author assignments will be e-mailed to all selected authors one week prior to the event.

Set-up Process: set-up on all author tables should be complete by 9:45 am on the day of the event. We suggest you bring 10 to 20 books and have more available if needed. To eliminate congestion in unloading books and display items, you will be assigned a group number with a designated time to unload books. We ask that you use the west entrance and not the main entrance to the library when loading and unloading. The main entrance is not open until 10:00 am. There will be volunteers at the drop-off point to secure your books while you park your car. There is a coffee shop in the library that sells muffins, coffee, sandwiches, sodas, etc.

Marketing: to insure a successful event we need your help. Each author will be provided with an email flyer for the event and other promotional materials. We expect you to promote this event by e-mailing flyers to your client list and other book lovers.

Liability and Release: Author has read and agrees to all terms and conditions of participation in the Desert Writers Expo. Author hereby releases, indemnifies and holds harmless the Palm Springs Writers Guild, the Rancho Mirage Library, the City of Ranch Mirage, and all of their employees, volunteers, representatives, assignees, affiliated organizations, vendors and suppliers from any and all claims, losses, liabilities, demands, damages, theft or costs (including attorney’s fees), and for any injury suffered before, during, or after the Desert Writers Expo or as a result of negligence or other acts, foreseen or unforeseen and howsoever caused, and for any loss of or damage to any of the author’s work, equipment, or any items of personal property. Author hereby releases the foregoing entities from all actions, claims, demands that he/she, his/her assigns, heirs, legal representatives now have or may hereafter have for injury, death, damage to, or theft of personal property, equipment or books. Author is strongly encouraged to carry liability, personal injury, and theft insurance for their books, their personal protection, their assistants and their customer’s protection.

  • Deadline to submit online application is Thursday, March 1, 2012.
  • Authors must meet all criteria noted on application for final acceptance. *In the unlikely event an online application does not meet the full criteria for acceptance you will be notified by email on or prior to March 1, 2012.
  • Space is limited to 54 authors for this event.
  • There is no application or registration fee. This is a free event.
